There is information on this site that is provided free of charge, but everything has its cost, and the cost of providing that information comes out of the marketing budget for ARIES Online. By providing yourself with Accurate Records In Easy Steps, you can generate reports about your finances on which to make informed decisions. You can log into the full ARIES Online program up to 100 times free of charge to test how easy it is to use and the value of its reports to you, using your own data. As you see the number of remaining free logins decrease, you have to decide whether continuing your access to the program is worth £30 per month. There is no minimum contract period, simply after 100 free logins, you pay £30 per month to continue to update your data.
You can use ARIES Online from anywhere in the world that you have access to a browser. You do not have to buy or install the accounting software, nor pay for upgrades. You will always be using the most up to date, and only, version of the program. Because your data is available to you over the internet, you can authorise other people to have access to your data (and you can remove their authorisations). ARIES Online has password controlled access to your data, but there are people who are very clever at accessing information on the internet. ARIES Online does not store data such as credit card numbers or details of bank accounts, only the data arising on those transactions. Unfortunately, we cannot guarantee that no-one will use unauthorised methods to gain access to your data, and if you do use ARIES Online, you do so on that understanding.
When you choose to use ARIES Online, you will set up two sets of records, one you may use for your personal finances, and one for a business. There is no direct connection between the two, other than you as the owner who created them. You may choose to use either or both depending on whether you want to record your personal or business finances.
Most business are owned and run by a small number of people, and good accountants will generally act for the individual business owners as well as the business. This helps them to see an overall picture and understand and advise on objectives.
Accountants also act for many people who do not own or run a business, and it is still important to have detailed records of income, whether that is earnings, interest, dividends, rents, against which there will also be expenses, and capital transactions such as the purchase and sale of stocks and shares. Beyond that, those people who are most in control of their finances generally know their main items of expenditure, and in difficult times more detailed records of domestic expenditure can help with budgetting.
Although it may only affect very few people, having reasonably detailed records of personal expenditure can avoid big problems in the event of an HMRC Tax Investigation. Because HMRC do deal with people who are less than honest about their tax affairs, they view anyone who has access to cash income as potentially dishonest about their tax affairs. One of their procedures is to compare declared income with apparent lifestyle. Because HMRC Tax Investigation officers are employees of a large organisation who receive a regular income, it is not easy for them to understand the changes in lifestyle that may be forced upon someone who business fluctuates, and who may have been extravagant with holidays etc in successful times, but very miserly in every respect in difficult times. Being able to demonstrate with confidence what you spent when, and how it was funded, can be a very effective way of closing a Tax Investigation.
As the owner of a set of business or personal records that you have set up, you can also allow other people to access your data, either on a read only basis, or to update it. (It may be possible to restict access to certain parts of your data, such as only allowing sales reps to have access to customer records, invoices, outstanding debts etc.)
This means your bookkeeper /bookkeeping staff can update your records 24/7 from anywhere they choose. For £30 per month, you acquire the right for one person to have access to your records at any time. It does not matter who that authorised person is. If a second person tries to log on while your records are in use, they will see "Records in use by UserName UserEmail" and be denied access until the first user logs off.
You may choose to pay more than one £30 access fee per month, at £30 per simultaneous user, so any two people can access your records at the sime time for £60 per month, any three people for £90 per month etc. Simultaneous access is limited to reading existing records and adding new records. Access to amend or delete existing entries is only available if only one person s logged in.
In addition to your own (multiple) access, you can authorise your own accountant to have access to your data, at any time, free of charge, provided they are a qualified practicing accountant. Any qualified practising accountant can apply to be put on our database for you to give them free access. Think how helpful your accountant can be if he has constant access to all your records.
We would like accountants to promote ARIES Online so we do not charge for them to have access to their client data, if their clients authorise that access as explained above.
If accountants approve of ARIES Online and want to develop their practices through the use of ARIES Online, we will list their details as accountants on this site at a charge of £50 per month.
Your data is part of a complex database. We use our best endeavours not to put bugs in the program, but we are human, and the database is stored on a computer which is a machine. All machines have a failure rate, hopefully very low, but it remains your responsibility to extract your data from the database to a backup record in your physical possession. We provide some suggestions about backup methods for you to consider. We take no responsibility for any problems that arise because you do not have a good backup of your data.
